Hays is working with a Manufacturing business in Telford who is looking for a detail-oriented Export Sales Administrator to join our dynamic team. The successful candidate will play a crucial role in ensuring the efficient administration and processing of all orders received by our sales departments. This includes coordinating and planning despatch dates while maintaining customs compliance.

Your new role

As an Export Administrator, your role will involve:
  • Efficiently process all orders received by the sales departments, ensuring coordination and planning of despatch dates.
  • Provide sales support to Business Development Managers and act as a customer response point for Export Distributors.
  • Handle export sales order processing, including order acknowledgement, despatch planning, invoicing, and credit control monitoring across all brands.
  • Provide and log shipping documentation for all exports, ensuring compliance with customs and HMRC regulations.
  • Stay informed of changes to export regulations and implement necessary changes through training, courses, webinars, and Chamber of Commerce updates.
  • Obtain and file proof of export documentation for all export shipments.
  • Support account managers (BDMs) and distributor customers with pricing, delivery queries, product availability, and lead time requests.
  • Liaise with supply chain, warehousing, logistics, and manufacturing departments to coordinate activities.
  • Maintain internal systems and suggest improvements to enhance departmental efficiency.
  • Negotiate competitive freight rates and ensure excellent customer service with freight forwarders.
  • Arrange export of marketing materials for exhibitions and open houses.
  • Address customer complaints and carry out corrective actions.
  • Ensure technical queries are passed to the technical team and responses are provided.
  • Book transport for UK logistics to cover holidays (full training will be given).

What you'll need to succeed

  • Proven experience in export sales administration or a similar role.
  • Strong understanding of customs and HMRC regulations.
  • Excellent organisational and multitasking skills.
  • Ability to work effectively as part of a team.
  • Strong communication and customer service skills.
  • Proficiency in using internal systems and suggesting improvements.
  • Experience of liaising with freight forwarders and negotiating rates.
  • Knowledge of Incoterms and best shipping practices.
