Purpose of Post
- To provide effective administrative and operational support to the Directors Office for Innovation & Growth, the Executive Director and wider department. Team.
- Organising and monitoring briefings, work programmes, and stakeholder engagement activities,
- Developing and maintaining robust administrative and data gathering systems,
- Supporting the EA to the Executive Director with diary management and other duties as required.
Main Duties & Responsibilities
- To provide administrative support to the Directors Office team, with a specific focus on the departmental administrative co-ordination, including with senior members of the Innovation & Growth team.
- To provide support for budget monitoring; reconciliation of local budget records with the central finance system; raising and receipting purchase orders.
- To maintain electronic systems and records to support the performance management and evaluation of the teams’ activities.
- To support diary management and arrange meetings for the Directors Office team, working with Executive Assistants as required and to support team events.
- To enter and maintain team data in the City Dynamics CRM System
- Coordinate briefings on behalf of the Executive Director and support the Executive Officer to the Director’s Office and Strategic Engagement and Operations Director on departmental governance.
- Work collaboratively across other teams to ensure we are seamlessly supporting the development of strong relationships with senior stakeholders in government, financial institutions and businesses.
- Operating in a support function where you will be required to undertake ad-hoc requests on short timeframes.
- Provide administrative support to the Executive Director, including diary management, the arrangement of meetings, drafting of agendas and minutes, the co-ordination of reports and papers for meetings, and liaison with internal and external stakeholders.
- Collating and submitting expense records and reports for team members, in line with Corporate Policies.
- Provide administrative support for overseas travel for senior Officers, including the co-ordination of paperwork, itinerary and travel arrangements.
- Provide logistical event management and administrative support for specific work programmes and business events, including roundtables, conferences and receptions.
