A well‑established legal firm in Belfast is seeking a proactive and highly organised Facilities Officer to support the smooth running of its premises and facilities operations. This part‑time role is ideal for someone who thrives in a busy environment, enjoys variety, and can confidently manage both people and processes.
Your new role
You’ll take ownership of day‑to‑day facilities management, ensuring the building, services, and support functions run efficiently. The role combines hands‑on coordination, contractor liaison, compliance scheduling, and oversight of the Post Team.
- Managing the Post Team, including daily task allocation, holiday planning, and issue resolution.
- Coordinating building maintenance, including electricians, plumbers, painters, air‑conditioning engineers, and cleaning teams.
- Organising annual Fire Risk Assessments and all associated fire safety services (extinguishers, signage, fire safety plan, PAT testing, EICR testing).
- Scheduling bi‑annual Legionella surveys and ensuring compliance records are up to date.
- Monitoring the cleaning contract and reporting issues to the HR Manager.
- Obtaining competitive quotes for repair and maintenance work.
- Liaising with contractors and ensuring work is completed to required standards.
- Supervising car park arrangements and working closely with Security.
- Managing water cooler supplies and maintenance.
- Maintaining facilities spreadsheets and documentation using Excel.
What you'll need to succeed
- Strong communication and interpersonal skills, with the confidence to liaise across teams and with external contractors.
- Excellent organisational skills, with the ability to multitask and prioritise effectively.
- Able to work both independently and as part of a team.
- Comfortable using initiative to solve problems and keep operations running smoothly.
- Proficient in MS Excel and Word, with the ability to maintain accurate records and reports.
