Your new role
The role of the Information and Records Coordinator is to support the Records Manager in ensuring that information is processed and managed in line with our Records Management Policy and Records and Information Management best practice. You will also work with multiple stakeholders across the business to uphold compliance with our Retention and Disposal Policy, including setting up and maintaining automated retention modules.
The role also involves collaboration with a wider project team as we roll out a new EDRMS on SharePoint. The primary role will be to ensure a smooth transition into BAU, including setting up new processes, learning the system and how to ensure we maintain best practice for the management of an EDRMS.
Job purpose
The purpose of the Information and Records Coordinator is to provide support to the client in ensuring our people follow records management best practice, supporting compliance with our legal and regulatory obligations.
Main responsibilities
1 Working as part of a small team to support the Records Manager in delivering and maintaining Records Management best practice, compliance with Records and Information Management Policies and implementation of the Records Road Map.
2 Providing governance support and reporting to the Records Retention Board, producing management updates and recording meeting notes and actions, following up actions to completion.
3 Developing and maintaining effective relationships with colleagues from across the organisation, ensuring clear and effective channels of communication, enabling them to agree actions and decisions within the migration project and more broadly.
4 Working with colleagues and key stakeholders to develop, agree, implement and maintain accurate and consistent access controls, naming conventions, information classification, retention periods and metadata capture.
5 Utilise automated Records Management tooling to provide and maintain compliance reports, coordinating follow up actions amongst the team and ensuring actions are followed through to completion.
6 Respond to Information and Records Management enquiries from colleagues from across the organisation, offering expert advice within required timescales.
7 To support the Records Manager in the development and delivery of training and awareness activities such as contributing towards eLearning content, intranet articles and face-to-face and online training sessions.
8 Performing updates to records management policies, writing and implementing local operating procedures and compliance analysis and reports, recording meeting notes and following up actions to completion. Producing management reports and statistics and contributing to the Annual Information and Records Management Report.
10 To offer occasional support to the Document Control and Scanning function of the team by performing scanning duties when required in line with BS 10008 compliance.
11 To understand and apply our safeguarding policy and processes for protecting children and adults at risk of harm (including knowing how to recognise, record and report safeguarding).
12 To support the organisation’s sustainability aims and net zero plan where appropriate.
13 Any other reasonable duties as may be assigned from time to time.
What you'll need to succeed
- Previous relevant records management is essential
- Advanced level of SharePoint knowledge, including administrating sites and libraries
- To be able to demonstrate the ability to inform and influence stakeholders from across an organisation to support the implementation of a Records Management Road Map.
