A leading public sector organisation is seeking an organised and proactive General Secretary / Administrator to join its busy administrative services team. Supporting a professional healthcare environment, you will play a key role in ensuring the smooth running of day-to-day administrative operations while providing vital support to multidisciplinary teams. Opportunities are available across a number of locations, with both full-time and part-time hours on offer.
Your new role
Key duties include:
- Providing high-quality secretarial and administrative support.
- Producing documents, reports and correspondence using Microsoft Office packages.
- Managing records and databases in line with organisational procedures.
- Handling incoming and outgoing communications and directing queries appropriately.
- Maintaining filing systems and supporting records management processes.
- Creating and maintaining spreadsheets and extracting data for reports.
- Supporting meeting administration, including scheduling, minute taking and distribution of minutes.
- Assisting with appointment management and diary coordination where required.
- Providing administrative cover across teams during periods of absence.
- Building effective working relationships with colleagues, service users, and external organisations.
What you'll need to succeed
- 4 GCSEs at Grade C or above (or equivalent), including English Language, plus at least one year's administrative, clerical or secretarial experience; OR
- An NVQ Level 2 in Administration (or equivalent) plus at least one year's relevant experience; OR
- A minimum of two years' administrative, clerical or secretarial experience.
- Strong keyboard, word processing and document formatting skills.
- Experience using Microsoft Word, Excel and Outlook.
- Excellent organisational and prioritisation skills.
- Strong communication skills with the ability to engage professionally with a range of stakeholders.
- The ability to work independently and as part of a team.
- A high level of accuracy and attention to detail.
- Knowledge of data protection and confidentiality requirements.
- Experience using databases, filing systems or diary management systems would be advantageous.
