Band 3 Secretary, £12.75 per hour, Full time, 3 months initially

A public sector organisation is recruiting for a Band 3 Secretary based in Derry/ Londonderry.

Your new role

As Personal Secretary, you will provide comprehensive secretarial and administrative support to a multidisciplinary team and associated professionals. You will be responsible for ensuring the efficient day-to-day operation of administrative processes while maintaining high standards of accuracy and confidentiality.

Key responsibilities will include:
  • Managing diaries, arranging meetings, venues and hospitality requirements.
  • Providing full secretarial support to a team of professionals.
  • Preparing correspondence, reports, meeting minutes and other documentation
  • Handling telephone enquiries and acting as a key point of contact for staff, service users and stakeholders.
  • Maintaining filing systems, records and databases.
  • Assisting with the preparation of presentations and departmental reports.
  • Monitoring office supplies and processing stock requisitions.
  • Producing and collating statistical information and maintaining administrative records.


What you'll need to succeed

To be successful in this role, you will meet one of the following criteria:
  • A minimum of 5 GCSEs (or equivalent), including English Language and Maths, plus 1 year's administrative or clerical experience; or
  • NVQ Level 2 Business Administration (or equivalent) plus 1 year's administrative or clerical experience; or
  • 3 years' administrative or clerical experience
In addition, you will have:
  • Strong working knowledge of Microsoft Office, including Word, Excel, Outlook and PowerPoint.
  • Experience managing diaries and organising meetings.
  • Excellent organisational skills with the ability to prioritise workloads effectively.
  • Strong communication skills, both written and verbal.
  • The ability to work independently and as part of a team.
  • A professional approach to handling confidential information.
Desirable:
  • Experience using electronic patient record or case management systems.
