Your new company
Hays is working with a reputable further education organisation who are looking for a temporary Administrative Assistant / Receptionist to provide comprehensive support to the office.
Your new role
- Handle reception duties and respond to customer/visitor enquiries via email, phone, or in person, escalating as needed
- Create letters, documents, and presentations using standard templates
- Maintain accurate records through filing, photocopying, and data entry
- Generate routine reports to meet office information needs
- Extract data from databases for management information
- Verify data accuracy and report discrepancies
- Input data into databases and spreadsheets
- Support administrative tasks for programs, placements, and international activities, and assist other teams as directed
- Organise meetings/events by booking rooms, arranging catering, and preparing materials
- Prioritise daily tasks under the guidance of the office manager to ensure timely and quality completion
- Follow ordering procedures to maintain necessary supplies
- Process forms and documents according to set procedures, e.g. invoices
What you'll need to succeed
- A minimum of 2 years of experience in administration and reception duties
- Excellent oral and written communication skills
- Microsoft Office proficiency and experience with database management
- Organisational skills and attention to detail
What you'll get in return

- Temporary with possibility of extension
- 36.5 hours per week (Monday to Thursday 08.50 am to 5.00 pm Friday 08.50 am to 4.25 pm)
