Facilities Coordinator Required – 3 month temp role

  • Location: London (Hybrid – 60% office-based
  • Contract: Initial 3-month temporary assignment
  • Grade: Civil Service AA–AO equivalent

About the Role

We are seeking a Facilities Management Assistant to join a busy Workplace and Culture team for an initial 3-month temporary assignment. This is a fantastic opportunity to support a large organisation in maintaining safe, compliant, and well-equipped workspaces across multiple sites.
The role is based in London with a hybrid working model (approximately 60% office-based). You will work closely with the Senior Facilities Assistant and the Workplace, Estates & Environment Planning Manager to deliver both hard and soft facilities management services.

Key Responsibilities

Hard Facilities Management:
  • Respond to facilities helpdesk requests promptly and ensure accurate, compliant resolution.
  • Support the Senior FM Assistant with O&M manuals and asset registers
  • Liaise with building FM teams for fault reporting and assurance testing
  • Carry out basic maintenance and repairs or arrange engineer call-outs
  • Ensure electrical safety standards are met and compliance checks completed
  • Assist with workplace refit programmes and maintain accurate asset registers
Soft Facilities Management:
  • Support internal and external events: setting up AV, book rooms, manage catering and visitor registration.
  • Place orders for equipment and services, and assist with budget management processes
  • Handle incoming post and deliveries, including safe manual handling of bulky items
  • Provide basic systems administration for desk/room booking and travel management tools
  • Contribute to Environmental, Social, and Governance (ESG) plans, including data management for utilities, waste, and emissions
  • Participate in incident management and evacuation procedures, and induct others on emergency protocols.
Essential Skills & Experience:
  • Strong interpersonal and communication skills
  • Experience delivering excellent customer service
  • Ability to work independently and manage multiple priorities
  • GCSE (A–C) in English and Maths (or equivalent)
Desirable Qualifications & Technical Knowledge:
  • Awareness of good practice in facilities management
  • IOSH qualification in Facilities Management and Health & Safety
