Project Coordinator

Your new company

Hays are recruiting for a temporary to permanent project coordinator based in Salford. This role will be moving to Traffor Park. You will provide essential administrative and operational support across active projects, ensuring smooth delivery, accurate cost tracking, and efficient coordination of resources. This role is ideal for someone who is highly organised, detail-focused, and confident working in a project environment.


Your new role

The successful candidate will create and submit purchase orders in line with project requirements and internal procurement processes. Liaise with suppliers to obtain quotes, confirm pricing, and ensure timely delivery of materials and services. Maintain accurate PO records and track approvals, amendments, and fulfilment status. Book and coordinate transport, hotels & hire equipment. Arrange all project-related logistics including transport, accommodation, and equipment hire. Coordinate schedules to ensure resources are in place ahead of project milestones. Monitor bookings, manage changes, and communicate updates to project teams and stakeholders. Maintain up‑to‑date cost trackers, logging actual spend against approved budgets. Highlight variances, risks, or potential overspend, escalating where necessary. Prepare weekly and monthly cost reports to support informed project decision‑making. Review supplier invoices, verifying accuracy against purchase orders, deliveries, and agreed rates. Resolve discrepancies with suppliers and internal teams. Approve or escalate invoices for payment in line with financial procedures.

What you'll need to succeed

  • Strong organisational skills and attention to detail
  • Experience with purchase order systems and basic processes
  • Confident coordinating logistics (transport, hotels, equipment)
  • Comfortable analysing numbers and maintaining cost trackers
  • Effective communicator across teams and suppliers
  • Ability to work to deadlines and manage multiple tasks simultaneously
