Purchasing Administrator

Your new company

Hays are working with a growing Manufacturing business based in Telford who are looking for a Purchasing Administrator on a permanent basis. This role is responsible for ensuring the timely delivery of materials, components, goods, and services in line with production, inventory, and customer needs. The role acts as a key link between suppliers, purchasing, planning, and operations, proactively managing delivery performance, resolving supply issues, and reducing the risk of shortages or delays.

Your new role

As a Purchasing Administrator, your role will involve:

  • Supplier & Order Management.
  • Monitor open purchase orders and supplier delivery commitments to achieve strong OTIF (On-Time, In-Full) performance.
  • Expedite overdue or at‑risk orders through direct communication with suppliers.
  • Confirm delivery dates, quantities, and shipping details.
  • Maintain accurate and up‑to‑date order status within the ERP/MRP system (Sage 200).
  • Identify potential supply disruptions and escalate risks to Buyers.
  • Coordinate corrective actions for late, short, or non‑conforming deliveries.
  • Support suppliers and internal teams with root cause analysis.
  • Track supplier delivery performance and generate daily KPI report data.
  • Liaise with Purchasing, Production Planning, Material/Inventory Control, and Warehouse operations.
  • Provide day‑to‑day support to Buyers with order follow‑up.
  • Deliver regular delivery status updates to internal stakeholders.
  • Ensure purchasing documentation complies with company procedures and Quality Management Systems.
  • Maintain clear records of supplier communication, commitments, and follow-ups.

What you'll need to succeed

  • Strong communication and negotiation skills.
  • Highly organised with excellent attention to detail.
  • Proactive, persistent problem-solving approach.
  • Ability to prioritise in a fast‑paced environment.
  • Confident liaising with suppliers at all levels.
  • Strong data handling and reporting capabilities.
  • Proficient IT skills, including Microsoft Office—especially Excel (pivot tables, VLOOKUPs, formulas).
  • Previous experience in purchasing, expediting, or supply chain.
  • Experience working with ERP/MRP systems (ideally Sage 200).
  • Understanding of lead times, delivery schedules, and inventory management.
Desirable
  • Experience in a manufacturing or engineering environment.
  • Knowledge of Incoterms and basic logistics principles.
