You’ll be joining a respected, well‑established professional services organisation in Edinburgh, known for its collaborative culture and strong operational infrastructure. The firm supports major projects and works closely with internal specialists across Finance, Facilities, IT, Marketing and other business services. As a Legal Personal Assistant, you’ll be part of a wider administrative community that values precision, teamwork and proactive support.
Your new role
- Accurately producing correspondence, large documents, presentations and forms using Word, Excel, PowerPoint, Adobe/PDF tools and dictation software.
- Creating, formatting and amending substantial documents and liaising with document production teams when required.
- Handling client and matter opening/closing, conflict checks, engagement letters and coordination with Finance and AML teams.
- Managing diaries, booking rooms, arranging catering, coordinating IT support and communicating with attendees.
- Monitoring inboxes for partners and absent fee earners, organising email storage and maintaining filing structures.
- Attending team meetings, taking minutes, tracking actions and supporting fee earners in completing agreed tasks.
- Supporting billing cycles, preparing invoices, managing client fee portals and handling invoice‑related queries.
- Completing general administrative tasks including filing, scanning, photocopying, binding, travel arrangements, expenses and training coordination.
- Managing paper storage systems including indexing, local storage and off‑site archiving.
- Liaising with internal support teams such as Finance, Facilities, Reception, Marketing and IT.
What you'll need to succeed
To be successful in this highly visible role, you will have:
- Strong organisational skills and exceptional attention to detail.
- Previous experience as a PA or Executive Assistant in a busy professional environment.
- Initiative, problem‑solving ability and confidence working with large documents and multiple software tools.
- Clear, professional communication skills, both written and spoken.
- Ability to work collaboratively, manage competing priorities and meet deadlines.
- Commitment to following firm procedures, maintaining compliance standards and contributing to continuous improvement.
