Hays is working in partnership with a large public sector organisation to recruit an experienced Personal Secretary to provide high-quality secretarial and administrative support to senior officials. Your new role
As a Personal Secretary, you will deliver a responsive, efficient and confidential secretarial service, supporting senior officials in the effective management of their time and priorities. The role operates in a fast‑paced setting and requires a proactive, highly organised individual who can work with minimal supervision.
Key responsibilities will include:
- Comprehensive diary and appointment management, including organising meetings, rooms, travel and visitor arrangements
- Managing incoming communications (telephone, email and correspondence), prioritising actions and responding where appropriate
- Drafting, typing and formatting a range of documents including letters, reports, minutes, presentations and briefings, often from audio or handwritten notes
- Effective management of electronic and paper filing systems in line with information management policies
- Monitoring and tracking correspondence, ensuring deadlines are met and responses are followed up
- Liaising professionally with a wide range of internal and external stakeholders
- Undertaking research tasks and sourcing information as required
- Maintaining confidentiality at all times and supporting the wider administrative team as needed
What you'll need to succeed
Recognised typing/word‑processing qualifications (OCR/RSA Stage II or equivalent) and audio typing qualifications (Stage I or equivalent)
- GCSE (or equivalent) grades A–C in English Language and one other subject
- Proven experience carrying out the full range of Personal Secretary duties
- Strong organisational, time‑management and prioritisation skills
- Excellent communication and interpersonal skills with the ability to work effectively as part of a team
- A high level of discretion and professionalism
