Centre Office Manager role, Birmingham, B12, Monday - Friday, 8am - 4pm, To commence ASAP

- To be responsible for the smooth running of the Centre Office on a day-to-day basis
- Absence/attendance records for both pupils and staff, to include updating and maintaining accurate records, e.g., Bromcom in accordance with LA procedures on the appropriate weekly returns form.
- Liaison with Family Support Worker to assist with attendance procedures and Fast Track
- Obtaining quotes, sourcing materials and commissioning suppliers in compliance with council policy/guidelines
- Producing confidential work for the Centre such as confidential reports and liaison with other agencies as appropriate.
- Dealing with enquiries as appropriate to facilitate speedy and effective communication.
- Initial set-up and maintenance and monitoring of pupils and confidential data
- Making arrangements for pupil transport (e.g., taxi/bus) within the context of school needs, the keeping of accurate records on standard forms and weekly/monthly returns to Travel Assist.
- The inputting of data/information into School and Centre databases
- Administration related to safeguarding, e.g., visitors, DBS processes, shielding of information ensuring relevant and required information is sent to the School Management Office (SMO).
- Maintenance of VMS (Visitors Management System), carrying out safeguarding checks as per school policy and procedures.
- Dealing with ICT related requests and issues for staff and pupils
- To contribute and take part in training and CPD of other office staff
- Telephone and reception duties, retrieval and distribution of emails, preparation and maintenance of files, keeping diaries and daybooks, photocopying and data processing, e.g. using Excel, Access, Word etc.
- Monitoring capitation expenditure against budgetary planning, using spreadsheets.
- Placing orders and keeping appropriate financial records using spreadsheets

To succeed you will:
• School office experience is essential
• Have an excellent standard of literacy and numeracy
• Have management or senior administrative experience within a busy office
• Have a high level of IT skills and experience working with MS Office and MIS systems
• Be highly organised and have excellent attention to detail
• Be always discrete and professional, as you will be dealing with highly sensitive information
We will require recent satisfactory references carrying out this role. You will also have a current enhanced DBS in order to start the placement immediately.
