Job Summary

Role: Executive Assistant to Executive Leadership Team

Rate: From £22.94 per hour + holiday PAYE
Location: Central London
Working Pattern: 2 days on-site
Working Hours: 35 Hours (Monday–Friday)
Contract Length: 3 months

My client is a well-established regulatory body based in London, and they are looking for an Executive Assistant to support their Executive Leadership Team, that looks after the Governance in Legal and Governance, CEO and Council Chair. The contract is for 3 months and offers a hybrid model and is based in Central London.

Job Purpose

To ensure and underpin success for the Executive Leadership Team (ELT) by providing the highest level of executive and professional administrative support to the organisation's Chief Executive.

  • Full delegate access, managing diaries and inboxes and acting as a gatekeeper when necessary.
  • Working effectively with all stakeholders – both internally and externally – to manage expectations and build productive relationships.
  • Working closely with other EAs and the Governance Team to provide consistent and effective executive support, enabling business to progress expeditiously by providing cover for absences and supporting each other through heavy periods of work.
  • Providing collaborative administrative support for relevant external meetings, groups and forums (where appropriate) and boards or committees managed by the Governance department. (Meetings take place twice a month)
  • Drafting responses to communications on behalf of the relevant ELT member, where appropriate, paying close attention to particular style, tone and stakeholder relationship.
  • You will be required to be a bit flexible depending on what’s needed at the time, but it is likely you will be managing 1–2 diaries with some general admin tasks such as team inbox management too.
  • Providing briefings for meetings or communications, undertaking research where necessary.

What you'll need to succeed

  • Proven experience in effective administrative, diary and meetings management skills in a similar role to a senior executive or equivalent.
  • Proven Experience in complaint management.
  • Experience of acting as a gatekeeper when needed.
  • Experience in the public sector is necessary
  • CRM experience is desirable
  • Proven experience of successful working relationships with senior executives or similar. Demonstrating excellent attention to detail and making sound decisions where appropriate on behalf of a senior executive.
  • Proven experience in building and establishing excellent working relationships with key stakeholders both internally across Directorates and external to the organisation.
  • Excellent communication skills, both written and verbal, with experience of liaising with key stakeholders both internally and externally.
  • Proven ability to work on your own initiative and as part of a wider team.
  • Proven experience in researching, developing and drafting clear and concise briefings.
  • Proven experience and knowledge of effectively prioritising multiple conflicting demands on time and resources.
  • Demonstrable experience and knowledge of an understanding of the cycle of executive boards and committees and its application to supporting executive and senior management teams and its workload.
  • Experience of handling and effectively managing sensitive and confidential correspondence.
  • Demonstrable experience of setting up and maintaining office systems.
  • Excellent knowledge of MS Office including PowerPoint, Word, Excel and Outlook.
