Your New Role
As the Executive Assistant & Office Manager, you’ll be the trusted right-hand to the Chief Executive, providing high-level administrative and secretarial support. You’ll also take ownership of the day-to-day running of the Central Office, ensuring everything from diary management to office supplies runs like clockwork.
Key responsibilities include:
- Providing confidential and efficient support to the Chief Executive.
- Managing diaries, coordinating meetings, and liaising with internal and external stakeholders.
- Organising and minuting Board and Committee meetings.
- Supporting key events such as awards ceremonies and away days.
- Offering ad hoc support to the Chairman and Senior Management Team.
- Overseeing office operations including ordering supplies (milk, stationery, etc.), managing rooms, and liaising with service providers.
- Ensuring compliance with health and safety and fire safety protocols.
- Managing the Reception team and stepping in to cover reception duties when needed.
- Handling inbox management and maintaining internal documentation.
What You’ll Need to Succeed
We’re looking for someone who is highly organised, discreet, and thrives in a fast-paced environment. You’ll be confident managing multiple priorities and have a natural ability to lead and support others.
Essential skills and experience:
- Proven experience as an Executive Assistant or Personal Assistant.
- Strong proficiency in Microsoft Outlook, Word, and Excel.
- Excellent communication skills and a professional telephone manner.
- Minute-taking experience and the ability to manage competing deadlines.
- A proactive and solutions-focused approach.
Desirable:
- Experience in office and people management.
- Familiarity with health and safety regulations in an office setting.
