Your new company
The client is a leading partner within the engineering and construction business. They are currently growing and, due to the workload, they are looking to hire an additional executive assistant to join the team and support the executive leadership team.
Your new role
As an executive assistant, you will play a pivotal role in ensuring the smooth and efficient running of the executive office.
Key duties will include:- Diary and Calendar Management: Coordinate and managing the daily schedules of senior executives, including arranging meetings, appointments, and travel arrangements.
- Communication and Correspondence: Handle incoming and outgoing communications on behalf of the executive team, including emails, phone calls, and written correspondence.
- Meeting Preparation and Follow-up: Organise and prepare materials for meetings, take minutes, and follow up on action items to ensure timely completion.
- Project Coordination: Assist in coordinating special projects and initiatives, collaborating with internal teams and external stakeholders to achieve project goals.
- Document Management: Draft, proofread, and manage documents, presentations, and reports for internal and external use.
- Event Planning: Plan and coordinate internal and external events, such as conferences, team-building activities, and client meetings.
- Confidentiality and Discretion: Maintain the highest level of confidentiality when handling sensitive information and matters.
- Travel Management: Arrange complex travel itineraries and accommodation for executives and prepare detailed travel itineraries.
- Expense Management: Process expense reports and manage executive budgets, ensuring timely and accurate submissions.
- Stakeholder Management: Act as a point of contact between executives, internal teams, and external partners, ensuring effective communication and relationship management.
- Office Management: Assist in managing office supplies, equipment, and other administrative needs as required.
- Data management: dealing with statistics and updating records
What you'll need to succeed
You must have worked within the role of an executive assistant previously and ideally within an engineering, manufacturing or technical environment.
Strong communication and organisational skills are crucial in this role.You must be able to work with a high level of discretion and confidentiality.
The candidate should be forward thinking, proactive and have the ability to work on their own initiative.
