Key Responsibilities
Executive & Administrative Support
- Provide proactive, confidential and high-quality administrative support to the Vice-Chancellor and Principal’s Office. Ensure Senior Leadership Team members have the right information, documents and schedules to meet all deadlines effectively.
- Support preparations for meetings, talks and visits by gathering relevant information, contributing to presentations and producing briefing materials.
Diary & Meeting Management
- Oversee and manage complex diaries for senior leaders, using sound judgement to prioritise competing demands and respond to shifting priorities. Liaise with internal and external contacts, arrange meetings, book venues, organise hospitality and coordinate travel arrangements, including visas where required.
Committee Servicing
- Provide full secretariat support for high-level committees, including preparing agendas, taking accurate, concise minutes, and following up on actions with professionalism and confidentiality.
Communication & Correspondence
- Manage incoming emails, phone calls and written correspondence—often of a sensitive or complex nature. Assess priority levels, draft responses, or redirect to appropriate contacts as needed.
Documentation & Compliance
- Maintain accurate electronic and physical filing systems for key documentation relating to the Vice-Chancellor and Principal’s Office.
- Develop and maintain a strong working knowledge of relevant university policies, procedures, governance and committee structures.
Financial Administration
- Oversee expenditure within agreed budgets and handle financial processes such as raising requisitions, processing invoices, receipting and managing expense claims in line with financial regulations.
General Duties
- Provide cover for colleagues in the Executive Support Team during periods of leave or absence.
- Maintain annual leave records and support HR activities relating to senior management recruitment when required.
- Assist with wider project‑related work, including research and administrative support on topical issues as directed by the Senior Leadership Team.
What you'll need to succeed
- Proven experience providing high-level executive or administrative support within a complex, fast‑paced environment.
- Previous experience in Higher Education or Education would be desirable.
- Strong organisational skills with the ability to prioritise competing demands and manage a busy workload effectively.
- Excellent written and verbal communication skills, with the ability to handle sensitive and confidential information discreetly.
- Demonstrated ability to take clear, concise and accurate minutes at senior‑level meetings.
- Confident diary management experience, including coordinating meetings, events, travel and logistics.
- High attention to detail and accuracy across documentation, correspondence and data management.
- Strong IT proficiency, particularly in Microsoft Office (Outlook, Word, Excel, PowerPoint) and digital filing systems.
- Experience preparing briefings, presentations or supporting documentation for senior stakeholders.
