Location: Glasgow (Hybrid)
£22.51/ hour PAYE

About the Role

We are supporting a leading organisation to appoint a Document Controller to play a key role in ensuring the effective management, control and delivery of project information. This is an excellent opportunity for an organised and detail-driven professional to take ownership of document control processes, ensuring all project documentation is accurately managed, compliant, and aligned with contractual and client requirements.

Key Responsibilities

  • Manage document workflows through internal review and approval processes
  • Ensure documentation progresses through structured workflow stages in line with agreed standards
  • Validate submission readiness and maintain accurate document status control
  • Coordinate the submission of documentation to external systems in line with contractual requirements
  • Apply appropriate metadata, naming conventions and revision control
  • Manage formal transmittals and maintain records of all information exchanges
  • Track customer feedback, including approvals, rejections and comments
  • Ensure consistency of document status and version control across internal and external systems
  • Maintain accurate document registers and tracking systems
  • Transfer and manage documentation across platforms while retaining complete audit trails
  • Ensure all documentation meets project standards, governance and quality requirements
  • Identify non-compliant submissions and return for correction
  • Support audit and assurance activities through accurate record-keeping
  • Produce regular reports on document status, submissions and outstanding actions
  • Provide visibility of workflow progress to support delivery teams
  • Collaborate with stakeholders to ensure timely submission and document progression
  • Provide guidance to project teams on document control processes and system use
  • Promote consistency and best practice across delivery teams
  • Identify process improvements and support enhancements to document control frameworks

About You
We’re looking for someone with:
  • Proven experience in a Document Controller or similar role within a project-based environment
  • Strong understanding of document control processes, workflows and compliance standards
  • Experience working with document management systems (e.g. Viewpoint, ACC or similar)
  • Excellent attention to detail and organisational skills
  • Ability to manage multiple priorities and work to deadlines
  • Strong communication skills, with the confidence to work with a range of stakeholders
