Document Controller
Location: Glasgow (Hybrid)
£22.51/ hour PAYEAbout the Role
We are supporting a leading organisation to appoint a Document Controller to play a key role in ensuring the effective management, control and delivery of project information. This is an excellent opportunity for an organised and detail-driven professional to take ownership of document control processes, ensuring all project documentation is accurately managed, compliant, and aligned with contractual and client requirements.
Key Responsibilities
- Manage document workflows through internal review and approval processes
- Ensure documentation progresses through structured workflow stages in line with agreed standards
- Validate submission readiness and maintain accurate document status control
- Coordinate the submission of documentation to external systems in line with contractual requirements
- Apply appropriate metadata, naming conventions and revision control
- Manage formal transmittals and maintain records of all information exchanges
- Track customer feedback, including approvals, rejections and comments
- Ensure consistency of document status and version control across internal and external systems
- Maintain accurate document registers and tracking systems
- Transfer and manage documentation across platforms while retaining complete audit trails
- Ensure all documentation meets project standards, governance and quality requirements
- Identify non-compliant submissions and return for correction
- Support audit and assurance activities through accurate record-keeping
- Produce regular reports on document status, submissions and outstanding actions
- Provide visibility of workflow progress to support delivery teams
- Collaborate with stakeholders to ensure timely submission and document progression
- Provide guidance to project teams on document control processes and system use
- Promote consistency and best practice across delivery teams
- Identify process improvements and support enhancements to document control frameworks
About You
We’re looking for someone with:
- Proven experience in a Document Controller or similar role within a project-based environment
- Strong understanding of document control processes, workflows and compliance standards
- Experience working with document management systems (e.g. Viewpoint, ACC or similar)
- Excellent attention to detail and organisational skills
- Ability to manage multiple priorities and work to deadlines
- Strong communication skills, with the confidence to work with a range of stakeholders
