Overview:
We have an excellent opportunity for a highly organised and customer‑focused individual to join our team on a fixed-term basis. This role is central to the smooth running of our front-line service, acting as the first point of contact for customers, referral partners, and internal colleagues. You will play a key role in ensuring referrals are processed accurately, enquiries are handled efficiently, and our service operates seamlessly on a daily basis.
This is a fully office-based position based in Pitsea, Essex and is ideal for someone who thrives in a busy, customer-facing administrative environment.
Key Responsibilities:
- Referral & Administration Support
- Process incoming referrals in a timely and accurate manner, ensuring all required information is complete and appropriately logged.
- Monitor shared inboxes, responding to queries, redirecting enquiries, and escalating issues where necessary.
- Customer & Partner Interaction
- Act as the first point of contact for customers' duty appointments, offering a friendly and professional welcome.
- Handle incoming telephone calls from customers, referral partners, and external agencies, providing advice or signposting to the appropriate team.
- Build positive working relationships with external partners and internal colleagues to support smooth referral pathways.
- Service Support & Reporting
- Assist the team in collating data for KPI reporting, ensuring all information is captured accurately and submitted within deadlines.
- Contribute to continuous service improvement by identifying gaps, issues, or opportunities to enhance processes.
- General Administration
- Support the Gateway team with day‑to‑day administrative duties
- Ensure customer information is handled sensitively and confidentially, adhering to GDPR and internal policies.
- Undertake any additional administrative tasks as required to support the wider team and service delivery.

Essential Skills & Experience:
- Strong administrative experience in a busy office or customer-facing environment.
- Excellent communication skills, both verbal and written.
- Confident handling phone calls and face-to-face enquiries.
- High level of accuracy and attention to detail.
- Good IT skills, including experience using Microsoft Office and internal data systems.
- Ability to prioritise workload and meet deadlines.
Desirable:
- Experience working within a support, housing, social care, or referral-based service.
- Familiarity with safeguarding, confidentiality, and data protection principles.
