Senior PA (Construction Workstream Coordinator)

Reporting and Location

  • This role reports to the Associate Director Business and Operational Support
  • This role has no direct reports.
  • The roles are based at the Company offices in Reading with optional hybrid working up to 3 days per week.

Job Summary

  • Diary and Scheduling: Manage the schedules for the Construction Workstream Lead and other Senior Consultants, including internal and Senior Management Team meetings, promptly accepting and rescheduling meeting requests.
  • Business Travel Arrangements: Book travel arrangements (flights, transport, accommodation) as needed.
  • Monthly Reports and Presentations: Prepare reports and presentations for management and internal meetings, ensuring progress on the Workstream Lead’s meeting actions.
  • Work Logs and Trackers: Maintain internal work logs and workstream trackers, updating task lists and project dashboards daily.
  • Client Proposals and Agreements: Administer new client proposals and agreements, ensuring correct follow-through and tracking of additional work.
  • Team Coordination: Communicate with team members regarding new project resourcing, coordinating project flow and tracking progress to completion.
  • Meeting Support: Prepare meeting agendas, conduct research, and provide meeting notes for both internal and external client meetings.
  • Proofreading and Formatting: Review and format correspondence, letters, and proposals from templates.
  • Email Monitoring: Monitor the Workstream Lead’s incoming and outgoing emails, ensuring relevant communication is copied into client public folders.
  • Client Liaison: Interact with clients and business contacts related to meetings and project updates.

Skills and Qualifications

  • Senior PA Support/Coordinator Background: Prior experience in senior PA support or coordination roles is essential.
  • Organizational Skills and Clear Communication: Strong organisational skills and clear communication abilities are necessary.
  • Initiative and Task Management: The role requires proactive initiative and effective task management, especially in a fast-paced environment.
  • Advanced Microsoft Office Skills: Proficiency in Microsoft 365, SharePoint, and Teams is crucial.
  • Excel Expertise: Advanced-level Microsoft Excel skills, including data manipulation, graphing, formulas, pivot tables, and dashboards, are essential.
  • Power BI Advantage: Familiarity with Power BI would be advantageous.
  • Diary Management and Project Scheduling: Experience in diary management and project scheduling is important.
  • Attention to Detail and Professionalism: Accuracy and professionalism are key attributes.
  • Team Engagement and Stakeholder Management: Collaborating effectively with the team and managing stakeholders is vital.
