Our client is a prestigious higher education institute who specialise in federal public research. This university offers the opportunity for online and blended courses in a number of disciplines. Our client is looking for a temporary administrator to join their Learning and Development team for one month starting in January to cover for absences within the team. This role will have a hybrid model with 2 days on-site.
Your new role
To provide effective administrative support in the running of a range of learning and development activities, ensuring a smooth and effective learning experience for participants that develops capability in line with the University’s strategic objectives.
Key Duties
1. Manage the logistics for Learning and Development events, e.g. booking rooms with appropriate layout, ordering catering and arranging Audio Visual equipment, and checking to ensure that everything is ready for the trainer to deliver the intervention.
2. Provide administrative support to the Apprenticeship Programme Lead
3. Managing the Learning Management System, including adding and updating course content, ensuring information pages are up-to-date, and managing user access.
4. Managing the sign-up and attendance of staff for training events, including producing and disseminating course joining instructions, collating and sending pre-work, managing materials, monitoring attendance and managing the waiting list.
5. Meet and greet external trainers before the start of workshops and debrief at the end of the session.
6. Gather and collate feedback on Learning and Development activities, addressing comments raised or forwarding to appropriate colleagues for action.
7. Manage Learning and Development e-mail inboxes, answering queries and forwarding others to relevant team members.
8. Update intranet pages including the Calendar of Events

What you'll need to succeed
Previous experience or other demonstrable capacity of effectiveness in the following:
- Planning and organising events, including managing the associated administration.
- Setting up and maintaining effective and efficient administrative processes.
- Managing a high volume of queries, with the ability to respond positively and provide good customer service.
- Delivering with excellent attention to detail and spotting errors or inconsistencies.
- Managing multiple, deadline-driven activities.
- Awareness of equality, diversity and inclusion issues and experience of considering inclusion in everyday work.
- Good interpersonal skills, including listening/questioning skills to understand requirements.
- Sound and developing IT skills, incorporating Microsoft packages including Word, Excel, and PowerPoint.
- Experience of using SharePoint.
- Confident in using IT, and keen to learn new packages and skills.
- Good office administrative skills.
- Accurate keyboard/data-entry skills.
- Ability to collate and analyse data (using MS Excel), identifying/taking action when needed.
- An interest in own and others’ development and an ability to learn quickly.
- Committed to high quality customer service, with the ability to work out customers’ needs and to liaise effectively with them, with patience and understanding.
- Able to work at pace and organise own workload to ensure delivery of competing tasks and deadlines, and knowing when to escalate issues.
