Your new role

As an Administrator & Documents Controller, you will play a key role in supporting property maintenance operations, ensuring accurate documentation and smooth coordination of activities.

Key responsibilities include:

  • Processing quotes, delivery notes and invoices, ensuring correct coding
  • Maintaining accurate records of all maintenance activities
  • Coordinating and scheduling statutory maintenance to ensure compliance
  • Liaising with suppliers and subcontractors, building strong relationships
  • Supporting operatives with accurate job recording
  • Assisting in improving systems, processes, and reporting for senior management
This is a full-time role based in near Paisley (34.5 hours per week).

What you'll need to succeed

  • Previous experience in an administrative or office-based role
  • Strong organisational and multitasking abilities
  • Confident communication skills, both written and verbal
  • Proficiency in Microsoft Office (Word, Excel)
  • High attention to detail and ability to manage records and schedules

Desirable:

  • Experience in facilities management, construction, or property maintenance
  • Knowledge of Health & Safety regulations
  • Exposure to KPI reporting
  • Full UK driving licence
