Administration Assistant

Your new company

We’re looking for a proactive and organised Administration Assistant to join our team on a temporary basis, with a strong opportunity to move into a permanent role. This position suits someone who enjoys keeping operations running smoothly, supporting colleagues, and delivering excellent service over the phone and in person.

Your new role

  • General administrative support: managing emails, filing, scanning, and maintaining accurate records.
  • Handling inbound calls: answering queries, directing calls to the correct departments, and taking clear messages.
  • Outbound follow‑up calls: contacting clients or suppliers to confirm appointments, chase information, or provide updates.
  • Diary and meeting coordination: scheduling appointments, preparing meeting rooms, and organising agendas.
  • Document preparation: creating letters, reports, spreadsheets, and basic presentations.
  • Data entry and database management: updating internal systems with accuracy and speed.
  • Supporting team projects: assisting with admin tasks for ongoing initiatives and deadlines.
  • Reception cover when required: greeting visitors and managing deliveries.
  • Answering customer enquiries and providing first‑line information.
  • Calling suppliers to request delivery updates or documentation.
  • Following up with clients to confirm bookings or gather missing details.
  • Escalating urgent issues to senior staff when needed.

What you'll need to succeed

  • Strong communication skills, both written and verbal.
  • Must be able to start immediately.
  • Confident telephone manner with the ability to handle calls professionally.
  • Excellent organisational ability and attention to detail.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Ability to multitask and prioritise workload effectively.
  • Previous admin experience is desirable but not essential for the right candidate.
