Your new role
This is a temporary role to start ASAP. The anticipated duration is until Christmas with a likely extension until the end of March 2027.Working as a Welsh Speaking Senior Administrator, you will:
- Provide dedicated business, administrative and financial management support to the team, prioritising workload as appropriate;
- Arrange individual, group and team meetings and events (online and in person), including diary management, booking venues or virtual platforms, and coordinating all associated requirements such as equipment and materials;
- Contribute to the monitoring and evaluation of the team's activity by supporting the creation of spreadsheets, databases, surveys, briefings, reports, web and social media content;
- Draft routine correspondence (including emails and letters), produce high-quality meeting minutes in the agreed format, and support the development of presentations, communications and training materials.
- File and maintain all relevant documentation in appropriate filing systems and electronic databases;
- Support website, social media and communication activity, ensuring information is accurate, up to date and effectively shared via the website and other channels;
- Manage and create purchase orders, delivery notes, payments and input and process invoices, keeping a record of project income and expenditure, including liaison with the host organisation’s Finance Officer;
- Maintain financial records/systems (using Microsoft Excel) and deal with accounts and financial queries from members, associates and other stakeholders;
- Proactively horizon scan and monitor consultations, policy developments and legislative changes across UK Government, Welsh Government and key partner organisations, supporting the Policy and Partnership Manager to identify implications for community safety and coordinate timely and informed responses;
- Maintain an accurate and accessible contact database for team members in line with General Data Protection Regulations (GDPR);
- Support the coordination and delivery of online and in-person events, including seminars, meetings and conferences, using the CRM system to manage registrations, maintain accurate attendee records and support effective event administration.
- Organise car hire, travel and accommodation in connection with the business.
- Attend meetings as required, supporting the wider team and contributing to stakeholder engagement and the visibility of the project.
- To undertake any other duties as required, commensurate with the duties and role of this post.
What you'll need to succeed
You'll be a fluent Welsh Speaker with a proven track record of working in administrative or PA-related work. You'll be comfortable dealing with highly confidential information. You'll be somebody that is a strong team player, but equally, when required, you can work independently and efficiently. You'll be comfortable dealing with a wide variety of internal and external stakeholders on a daily basis.
What you'll get in return
This is a temporary role to start as soon as possible. The role is expected to last until the end of December, with a likely extension until the end of March 2027. This is a hybrid role with the expectation to be in the office 1 day per week, with the option to work more in the office if you wish. 36 hours per week, hourly rate of £19.42 per hour. Hours of work are 9am to 5pm (some flexibility if required, as long as the 36 hours per week are worked)
