Systems Support Officer

Here at Hays, we are working with a government department to recruit a Systems Support Officer to support the management and development of knowledge systems within a legal and administrative environment. This will be a temporary role initially covering 9 months. This is a dynamic role requiring strong IT proficiency, excellent communication skills, and the ability to manage multiple priorities effectively.

Key Responsibilities
  • Support the business-side management of knowledge systems, including daily mailbox oversight and system updates.
  • Maintain planners and trackers to ensure smooth workflow and task visibility.
  • Provide administrative support: arrange meetings, draft agendas, and take notes.
  • Build and maintain strong working relationships across internal teams, external partners, and service providers.
  • Manage system access permissions and ensure secure content handling.
  • Create, update, and improve content within knowledge systems.
  • Assist with onboarding new teams and developing secure system pages.
  • Organise and deliver training sessions tailored to user needs.
  • Communicate updates and promote system usage across the organisation.
  • Support reporting and data tasks using technical tools.
  • Contribute to wider team projects and be open to learning new skills.
Key Skills & Experience
  • Comfortable using various IT systems and learning new platforms.
  • Interest in IT or knowledge management systems is advantageous.
  • Proficient in Microsoft Office 365: Teams, SharePoint, Planner, Word, Excel, PowerPoint, Outlook, OneNote.
  • Able to perform under pressure and manage competing priorities.
  • Strong independent working skills and team collaboration.
  • Excellent written and verbal communication.
  • Skilled in stakeholder management and expectation setting.
  • Highly organised with effective time management and prioritisation abilities.
