A charitable organisation based in Belfast are recruiting for a Senior Executive Officer
Your new role
This senior-level role provides high-level, confidential support to the Chief Executive Officer and Board of Directors, requiring exceptional discretion and professionalism. You will deliver comprehensive secretariat and governance support, ensuring efficient planning, coordination, and communication within a fast-paced CEO office. Responsibilities include managing Board and Committee meetings, maintaining governance documentation, and ensuring compliance with regulatory requirements.
The role contributes to the organisation’s mission to promote high-quality, evidence-informed early childhood services for children, families, and communities, guided by values of inclusion, partnership, and excellence.
Key Responsibilities
- Provide proactive, high-level secretarial support to the CEO, including complex diary management, email monitoring, travel arrangements, and confidential documentation handling.
- Organise and coordinate meetings, conferences, and video calls, ensuring all logistical and administrative requirements are met.
- Act as a key liaison for internal and external stakeholders, managing communications on behalf of the CEO with professionalism and alignment to organisational values.
- Draft and prepare correspondence, presentations, and speeches, incorporating relevant policy content where required.
- Maintain governance and compliance processes, including managing electronic document libraries, preparing Board reports, and submitting regulatory returns.
- Oversee Data Protection Officer (DPO) responsibilities, ensuring timely responses to regulatory requirements and maintaining the Data Processing Register.
- Manage policy review and approval processes, ensuring timely scheduling and compliance with governance standards.
- Lead and project manage administrative systems to ensure efficiency and customer-focused service delivery.
- Provide recommendations to strengthen governance and administrative arrangements, including facilitating training where necessary.
- Monitor CEO budget and ensure financial transactions comply with organisational systems.
- Handle confidential HR information and participate in recruitment processes as required.
- Represent the organisation at meetings and events as agreed with the CEO
What you'll need to succeed
Essential Criteria
At the closing date applicants, must have:
- Educated to degree level standard or above in a relevant discipline.
- At least two years’ corporate governance or legal compliance or information security or policy research and development.
- Highly proficient in MS Office applications and strong IT skills.
- Strong attention to detail.
- A high level of discretion and ability to handle confidential information.
- Ability to work independently and coordinate with multiple stakeholders.
Desirable Criteria
- Have or be willing to obtain a corporate governance qualification.
- Certification in data protection.
