A charitable organisation is recruiting for an Personal Assistant based in Belfast.

Your new role

As Personal Assistant to a senior leader, you will provide proactive, confidential and professional executive support, enabling effective delivery of key organisational objectives. You will be responsible for managing a busy diary, coordinating meetings and events, preparing reports and presentations, and acting as a key point of contact for internal and external stakeholders.

Key duties will include:
  • Managing complex diaries, appointments and travel arrangements
  • Coordinating meetings, preparing agendas, distributing papers and taking accurate minutes were required.
  • Drafting and preparing correspondence, reports, presentations and briefing materials.
  • Screening and managing incoming communications, ensuring urgent matters are prioritised appropriately.
  • Supporting the planning, coordination and monitoring of projects and key business activities.
  • Researching and collating information to support decision-making and organisational priorities.
  • Maintaining confidential records and ensuring information is managed securely and accurately.
  • Building strong relationships with colleagues and stakeholders while providing wider administrative support as required.


What you'll need to succeed

To be successful in this role, you will have proven experience supporting senior-level management within a busy professional environment. You will be highly organised, able to manage multiple priorities, and confident working independently while maintaining exceptional attention to detail.

You will also demonstrate:
  • A minimum of 2 years' experience in a similar Personal Assistant, Executive Assistant or senior administrative role, supported by relevant qualifications, or at least 3 years' equivalent experience.
  • Previous experience managing complex diaries and schedules for senior stakeholders.
  • Advanced Microsoft Office skills, including Word, Excel, PowerPoint and Outlook.
  • Excellent verbal and written communication skills.
  • Strong organisational, planning and time-management abilities.
  • The ability to exercise sound judgement, discretion and confidentiality at all times.
  • A proactive, adaptable and solutions-focused approach
