Personal Assistant, Belfast-based, £37,000

Hays are partnering with utilities companies to recruit a personal assistant on a permanent basis.

Your new role

As Executive Assistant, you will play a pivotal role in ensuring the smooth operation of the executive office. You’ll provide high-level secretarial, administrative, and personal support to the CEO and senior leaders, managing complex schedules, coordinating board and leadership meetings, and handling sensitive communications with discretion.
Key responsibilities include:
  • Managing the CEO’s diary, travel arrangements (including international itineraries), and correspondence.
  • Preparing board packs, agendas, and minutes for executive meetings.
  • Acting as the first point of contact for internal and external stakeholders.
  • Supporting corporate governance activities, including maintaining confidential records and coordinating with board members.
  • Overseeing office systems and hospitality arrangements for meetings and events.
  • Assisting with strategic projects, including research, report preparation, and presentation development.
This role requires a high level of professionalism, excellent organisational skills, and the ability to manage competing priorities with minimal supervision.

What you'll need to succeed

  • Minimum 5 years’ experience as a PA or Executive Assistant supporting C-suite executives.
  • Experience supporting board-level governance or working in a corporate secretarial capacity.
  • Strong understanding of corporate governance principles and regulatory requirements.
  • Proven ability to manage confidential and sensitive information with discretion.
  • Experience working within a regulated industry or complex organisational environment.
  • Exceptional organisational skills and ability to manage multiple priorities.
  • Outstanding written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong attention to detail and commitment to accuracy.
  • Excellent interpersonal skills and ability to build rapport across all levels.
  • Professional demeanour with excellent business etiquette.
  • High emotional intelligence, sound judgement, and political awareness.
  • Flexible and adaptable approach to changing priorities.
  • Resilient, proactive, and solutions-focused mindset.
Desirable:
  • Degree-level qualification in Business Administration or a related field.
  • Chartered Secretary qualification (or working towards).
  • Experience within the energy sector or similar regulated industries.
