Hays are partnering with a well-known service provider based in Belfast, focused on a constant strive for improvement, development of innovative work methods and providing their clients with unique solutions for specific needs. The client is seeking a highly experienced Personal Assistant to provide support to ensure the smooth operation of the office of the CEO and Board.


Your new role

  • Ensure the CEO & Board members are well-prepared for company meetings by organising relevant documents, presentations, and briefings.
  • Screen and prioritise emails, calls, and correspondence, responding on behalf of the CEO when appropriate.
  • Coordinate and attend meetings where necessary, taking minutes and following up on action items.
  • Facilitate communication between the CEO and other teams, ensuring smooth information flow.
  • Handle confidential information with integrity and discretion.
  • Manage expense reports, invoices, and budget-related tasks on behalf of the CEO.
  • Arrange travel itineraries, including transportation and accommodation.
  • Organise and coordinate company events, meetings, and off-site engagements as required.


What you’ll need to succeed

  • Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role supporting senior executives.
  • Experience in managing confidential and sensitive information.
  • Excellent organisational and time-management skills, with the ability to multitask and prioritise effectively.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook) and other office management tools.
  • The ability to work independently, with a high degree of professionalism and autonomy.
  • Flexibility to adapt to the CEO & Board's changing schedule and priorities.
  • Strong problem-solving skills and attention to detail.
  • Approachable, personable, and capable of building positive relationships with colleagues at all levels.
