Personal Assistant – Executive Office Support

Overview:
An exciting opportunity has arisen for a highly organised and proactive Personal Assistant to join a newly established executive directorate within a prominent UK public sector organisation. This directorate focusses on data, technology, and insight, playing a key role in shaping strategic priorities and supporting senior leadership in delivering impactful work across the organisation.

Role Purpose:
As Personal Assistant, you will provide high-level administrative and diary support to senior leaders, including Directors and Executive Directors. You’ll be instrumental in helping them manage their time effectively, coordinate meetings, and maintain strong communication across internal teams and external stakeholders.
This role offers a unique chance to work at the heart of a dynamic and forward-thinking team, contributing to initiatives that address some of the UK’s most pressing challenges, including digital transformation and emerging technologies.

Key Responsibilities:
  • Manage complex and fast-paced diaries and inboxes, ensuring priorities are handled efficiently.
  • Prepare daily meeting packs and ensure leaders are briefed and equipped for all engagements.
  • Coordinate travel arrangements and process expenses in line with policy.
  • Support committee and steering group participation, including agenda planning and document preparation.
  • Collaborate with other PAs and executive support staff across the organisation to ensure seamless coverage and support.
  • Liaise with internal and external stakeholders to facilitate meetings and communications.

Person Specification:
  • Excellent administrative and organisational skills, with proven experience in diary and inbox management.
  • Previous PA or EO experience.
  • Strong communication skills, with the ability to build relationships across all levels.
  • Ability to work independently and as part of a team.
  • High attention to detail and ability to manage sensitive documentation.
  • Proficiency in Microsoft Office and other relevant IT systems.
  • A genuine interest in the work of the organisation and its strategic goals.
