Temporary Personal Assistant (PA) – Executive Officer (EO) Level

Role Overview

This is a fantastic opportunity to work at the heart of GLD’s specialist Knowledge & Innovation Group and the Panel Service Management Team, providing private secretary and diary management support to the Deputy Director, Head of Knowledge & Innovation and Deputy Director, Legal Delivery, and the wider team. You’ll be a trusted advisor, a proactive problem-solver, and a key contributor to the team’s success.

Key Responsibilities

  • Executive Support: Provide dedicated PA and private secretary support to the Director and Deputy Director, including diary management, inbox oversight, and travel arrangements.
  • Meeting Coordination: Arrange internal and external meetings, draft agendas and minutes, ensure actions are followed up, and manage logistics for both in-person and remote/hybrid setups.
  • Briefing Preparation: Collate and circulate daily meeting packs, papers, and briefings to ensure the Director and Deputy Director are well-prepared.
  • Inbox Management: Monitor inboxes, identify urgent emails, commission and collate responses, and maintain effective filing and archiving systems.
  • Stakeholder Engagement: Build relationships across GLD and other government departments, acting as a liaison and point of contact.
  • Administrative Leadership: Lead on broader group administrative tasks, including team events, appraisal processes, and corporate activities.
  • Project Support: Contribute to wider K&I and PSM projects as needed, supporting delivery against the Deputy Director’s priorities.
  • Corporate Contributions: Engage in internal audits, finance processes (e.g. expenses, invoices), and SIP/NON-SIP forecasting.
  • Community Building: Develop a network across the private office community and support cross-functional collaboration.
