Hays are recruiting for a temporary to permanent Operations Administrator for an established organisation within the financial services sector who is seeking a highly organised and proactive Operations Administrator to support a specialist project team.
Your new role
This temporary‑to‑permanent role will suit someone with strong administrative capability, excellent communication skills, and the ability to manage multiple priorities within a fast‑paced environment. The successful candidate will play a key role in coordinating daily operations, managing critical correspondence, and ensuring the smooth running of project workflows.
Key Responsibilities
Email & Correspondence Management
Manage shared project inboxes, including triaging, tracking, and responding to incoming communications.
Ensure timely routing of queries, following up where needed to maintain service standards.
- Maintain high levels of accuracy and professionalism in all written communication.
- Administrative & Operational Support
- Provide day‑to‑day administrative assistance to the project team to ensure smooth operational delivery.
- Support in preparing, organising, and maintaining project documentation.
- Assist with general office and organisational tasks as needed.
- Document Coordination
- Process internal requests for project‑related documents, ensuring accuracy and confidentiality.
- Retrieve, compile, and distribute documentation in line with defined procedures.
- Maintain structured and compliant filing records.
- Complete ad‑hoc operational tasks contributing to project milestones and team efficiency.
- Identify opportunities to streamline or improve administrative processes.
What you'll need to succeed
- 1–3 years’ experience in an administrative, coordination, or office support role.
- Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Excellent organisational and time‑management skills.
- Confident written and verbal communication.
- Ability to work independently as well as collaboratively within a small team.
- High attention to detail with strong problem‑solving abilities
