Hays are recruiting for a temporary to permanent Operations Administrator for an established organisation within the financial services sector who is seeking a highly organised and proactive Operations Administrator to support a specialist project team.

Your new role

This temporary‑to‑permanent role will suit someone with strong administrative capability, excellent communication skills, and the ability to manage multiple priorities within a fast‑paced environment. The successful candidate will play a key role in coordinating daily operations, managing critical correspondence, and ensuring the smooth running of project workflows.
Key Responsibilities

  • Email & Correspondence Management

  • Manage shared project inboxes, including triaging, tracking, and responding to incoming communications.

  • Ensure timely routing of queries, following up where needed to maintain service standards.

  • Maintain high levels of accuracy and professionalism in all written communication.
  • Administrative & Operational Support
  • Provide day‑to‑day administrative assistance to the project team to ensure smooth operational delivery.
  • Support in preparing, organising, and maintaining project documentation.
  • Assist with general office and organisational tasks as needed.
  • Document Coordination
  • Process internal requests for project‑related documents, ensuring accuracy and confidentiality.
  • Retrieve, compile, and distribute documentation in line with defined procedures.
  • Maintain structured and compliant filing records.
  • Complete ad‑hoc operational tasks contributing to project milestones and team efficiency.
  • Identify opportunities to streamline or improve administrative processes.

What you'll need to succeed

  • 1–3 years’ experience in an administrative, coordination, or office support role.
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Excellent organisational and time‑management skills.
  • Confident written and verbal communication.
  • Ability to work independently as well as collaboratively within a small team.
  • High attention to detail with strong problem‑solving abilities
