Your new company

The Role will be based in a school in Sheffield which you would have a choice of two which you can be based out of. You also have the choice to have hybrid work or fully work from home but they would prefer if you came in to the school.

Your new role

The Facilities Coordinator is responsible for the operational coordination and compliance management of Facilities Management services.
The role ensures operational and financial processes that support Planned Preventative Maintenance (PPM), reactive works, lifecycle activities, and variations are administered and monitored in accordance with the contract obligations.
The role acts as a central coordination point between the Contract Lead, financial team, contractors, and client representatives, ensuring performance standards are met and deductions risk is minimised.

Your responsibilities are below,
Planned Preventative Maintenance (PPM) & Statutory Compliance
  • Coordinate the annual PPM programme in accordance with the contract obligations and statutory requirements.
  • Allocate PPM tasks within the CAFM system and monitor completion performance.
  • Track overdue or non-compliant tasks and escalate risks to the Contract Lead.
  • Ensure service sheets, certificates and statutory documentation are received, reviewed and uploaded into relevant systems in line with audit requirements.
  • Maintain compliance registers (e.g. Fire, Water, Gas, Electrical, Lifts).
  • Support compliance reporting and evidence collation for monthly performance reviews.

Reactive Works & Performance Management
  • Oversee allocation and tracking of reactive works to ensure response and rectification times align with Payment Mechanism thresholds.
  • Monitor works progress and escalate potential breaches to avoid service failure deductions.
  • Ensure evidence is captured and stored to mitigate performance deductions where appropriate.
  • Review and update open reactive orders where applicable.
  • Review job closures for accuracy and documentation completeness.
  • Management of the extension of time requests for reactive maintenance.

Payment Mechanism & KPI Monitoring
Monitor performance against contractual KPIs and SLAs.
Maintain trackers for:
  • PPM completion
  • Reactive response times
  • Helpdesk performance (where applicable)
  • Deduction risk logs
  • Support preparation of monthly performance reports.
  • Provide supporting documentation to defend or challenge performance deductions.
  • Assist in reviewing service failure notifications.

Financial & Commercial Administration
  • Raise and manage Contractor Purchase Agreement (CPA) and purchase orders in line with Kier governance processes.
  • Coordinating and generating works quotations as required.
  • Ensure correct cost allocation (Hard FM, Soft FM, Lifecycle, Variations).
  • Update fixed and variable cost trackers.
  • Support invoice validation and goods receipting.
  • Completion of work in progress (WIP) applications.
  • Maintain variation logs and support change control documentation.
  • Managing the authority damage process as applicable.

Lifecycle Administration & Asset Management & Document Control
Supporting the Contract Manager with:
  • Tracking of lifecycle replacement programmes.
  • Maintain lifecycle forecast spreadsheets and supporting evidence files.
  • Coordinate contractor delivery of lifecycle works.
  • Ensure asset records are updated following replacement or refurbishment works.
  • Maintain accurate long-term asset history to support handback obligations.
  • File statutory certificates, service reports and O&M documentation.
  • Maintain digital document control systems.
  • Ensure version control and consistent document naming conventions.
  • Project file archiving of H&S records

Contractor Coordination & Governance
  • Coordinate contractor visits, access arrangements, and site logistics.
  • Ensure Risk assessment and method statements (RAMS), insurances and competency documentation are received and approved prior to attendance.
  • Support audit readiness by maintaining structured document control systems.

Reporting & Client Interface Support
  • Prepare operational data for monthly performance meetings.
  • Assist in compiling contractual reporting requirements.
  • Provide data analysis to identify trends and risks.
  • Support the Contract Manager during client meetings e.g. note taking.
  • Maintain clear audit trails of contractual communications

The role is to start ASAP and is an on going role with a chance to become perm.

The Rate is £20.64 PAYE - £23.78 UMB an hour.

Shift time - 8.30am - 4.30pm / 30 mins unpaid break

What you'll need to succeed

  • Strong working knowledge of Microsoft Office Package 365. Proficient in the use and application of data analytics, including Microsoft Package. MS Excel, PowerBI, etc, to generate reporting.
  • Previous experience working in a similar role within an Facilities Management environment
  • Experience working within a CAFM system (e.g. MRI Evolution, Concerto, Maximo or similar).
  • Ability to manage structured digital filing systems aligned to audit standards.
  • Highly organised and process driven and the ability to manage and prioritise multiple tasks effectively.
  • Strong attention to detail and audit awareness.
  • Confident communicator with contractors and client representatives.
  • Able to prioritise in a performance-sensitive environment.
  • Proficient in data analytics and interpreting data to identify key trends.
  • Fully conversant with the English language
  • DBS Enhanced with Children’s Barred List
