A prestigious not-for-profit organisation in the heart of London is currently looking to recruit a facilities co-ordinator to join an already established estates team. It is one of the UK’s oldest children’s charities, with a history dating back to 1739. It provides support and advocacy for vulnerable children and young people, helping them to lead better, more secure lives. Coram offers a wide range of services, including adoption and fostering support, legal assistance, educational programs, and mental health support. The charity works in partnership with families, schools, local authorities, and other organisations to create positive outcomes and improve children’s wellbeing.
Your new role
Supporting the Facilities Manager in the co-ordination of the facilities functions and effective running of the Estates office.
- Assist Manager in allocating maintenance work between Estates team and contractors efficiently.
- Manage Estates facility team: log, assign, and monitor maintenance requests.
- Maintain premises and building infrastructure to high standards.
- Develop and implement planned maintenance programs.
- Oversee building services (heating, lighting, water) for effective operation.
- Conduct regular building inspections and coordinate repairs.
- Maintain safe and tidy plant rooms and workshops.
- Liaise with landlords, contractors, and clients regarding maintenance and lettings.
- Handle Estates office support, correspondence, and meetings.
- Assist with budget preparation and cost monitoring.
- Support health and safety compliance and welfare of staff, visitors, and contractors.
- Coordinate cleaning schedules with contractors.
- Monitor quality of contractor work.
- Ensure regular emergency equipment checks (fire alarms, lighting, extinguishers).
- Coordinate grounds maintenance and external inspections (trees, gutters, car parks).
- Supervise volunteers on specific projects as needed.
- Manage car parking booking and enforcement.
- Liaise with conference department on room setups and maintenance.
- Organize annual re-decoration programs.
- Maintain plans for essential services and inspect for external hazards.
- Manage CCTV and AV equipment.
- Assist with building development projects.
What you'll need to succeed
- Sound general knowledge of electrical, mechanical, building maintenance, and structural principles.
- Ability to identify hazardous or potentially harmful conditions, practices, or procedures within the areas of responsibility.
- Competence in liaising with and supervising repair personnel and contractors effectively.
- Capability to carry out repairs and refurbishment tasks to a professional standard.
- Experience in security operations and protocols.
- Ability to collaborate effectively with colleagues, contractors, and visitors.
- Strong team player with excellent interpersonal skills.
- Understanding and appreciation of the needs of others.
- Flexible and adaptable approach to work duties and, where necessary, working hours.
