Shipping and Facilities Assistant

One of the leading rare book dealers globally and the largest antiquarian book dealer in Europe, this organisation has, for over half a century, maintained a vast inventory of fine books—from rare seventeenth-century Shakespeare folios to highly sought-after contemporary classics like signed first editions of the Harry Potter series.

Its principal specialities include literature, economics, politics, philosophy, travel, navigation, military history, science and medicine, children’s books, and fine library sets. With a team of over 70 staff across four locations (including a newly opened gallery in New York), the business brings together expertise in antiquarian bookselling, gallery curation, and bookbinding.

The company regularly exhibits at major international book and antique fairs and continues to grow through strategic acquisitions and property development tailored to its operational needs.


Your new role

This role is a Facilities and Shipping Assistant and requires someone with a UK Driving Licence. The job duties include the following:

  • Packaging and preparing books, prints, artworks, and other items for shipment
  • Creating shipping labels and supporting paperwork for UK and international deliveries
  • Logging goods inwards and outwards, maintaining accurate records, and updating staff
  • Optimising cost-effective shipping solutions while ensuring timely deliveries
  • Liaising with couriers and postal service providers
  • Porterage and internal circulation of items
  • Local vehicle delivery of goods between our three sites, trade fairs, and clients
  • Applying protective coverings and ensuring basic care of incoming/existing stock
  • Basic repairs, maintenance, tidying, and dusting, plus ad-hoc/emergency cleaning
  • Assisting with packing/unpacking book fair boots and book fair preparation.
  • Supporting the preparation, hosting, and clearing up of events
  • Other general duties as required
  • Flexibility to support seasonal peaks, staff shortages, or extended opening hours

What you'll need to succeed

  • Meticulous attention to detail
  • Ability to work under pressure and manage competing priorities
  • Proficiency in Microsoft Office
  • Excellent written and verbal communication skills, with strong numeracy
  • Strong interpersonal skills and the ability to communicate effectively at all levels
  • Professionalism and confidence in dealing with a diverse range of clients and colleagues
  • Effective team player with a collaborative approach
  • Full UK driving licence and over 25 years old (stated by our client for insurance purposes), with confidence driving a small van (<3500kg)
