Your new role

I'm currently working with a key client who is seeking an exceptional Executive Assistant to provide high-level, proactive support within a busy and varied operational environment. The role is part-time (25 hours per week), ideally working over 5 days to ensure consistency and presence on site.

The Executive Assistant will support senior leaders, including the Managing Director and a member of the Executive Committee, who each require varied support, some of which is classed as high priority and must be actioned promptly.

This is a varied, hands-on position that requires someone who is:

  • Comfortable interacting at all levels, from making refreshments to supporting executive-level activity
  • Flexible, with a willingness to adjust hours around occasional global visits or business needs.
  • A true all-round EA who enjoys a mix of administrative and operational tasks
The organisation places high value on its Executive Assistants and the role offers a culture of autonomy, trust, and the opportunity to get involved in projects and site-wide communication initiatives.

Key Responsibilities

  • Complex diary management for senior leaders
  • Coordinating domestic and international travel
  • Managing expenses and producing meeting packs
  • Acting as first point of contact for internal and external stakeholders
  • Preparing reports and supporting other management teams as required
  • Being the visible, go‑to presence for staff across the site
  • Managing visitor processes including accommodation, travel, and onsite logistics
  • Organising catering, maintaining records of suppliers, and ordering stationery
  • Providing ad‑hoc support during global visits and leadership events
  • Leading communication output across the site
  • Drafting internal messages and cascading important updates
  • Liaising with external travel booking providers (training provided)
  • Ensuring smooth running of offices across the site
  • Supporting with minute-taking, scheduling, and day-to-day administrative duties
  • Maintaining a flexible approach to support peaks and troughs in workload

What you'll need to succeed

I'm looking for someone who is:

  • An experienced EA or PA
  • Highly organised and proactive, with excellent attention to detail
  • Confident and personable, able to build rapport across all levels of the business
  • Flexible and collaborative, with a “give and take” mindset
  • Calm under pressure, adaptable, and solution-focused
  • Experience with travel booking systems is helpful but not essential; training will be provided.
