Your new role
In this pivotal role, you will provide high‑level executive, operational, and HR coordination support to ensure the smooth running of the business. Acting as a trusted partner to the Managing Director, you will oversee diary management, prioritise key tasks, coordinate meetings, prepare correspondence, and manage travel and expenses. You will serve as a key point of contact for internal teams, customers, and external partners, helping to build positive and professional relationships across the organisation.
You will play a central role in governance and reporting, preparing agendas, taking accurate minutes, tracking actions, and providing weekly updates to support informed decision‑making. You will also assist with strategic projects, coordinating cross‑departmental activity, preparing documentation, conducting research, and monitoring performance against key objectives.
Your responsibilities will extend to office and facilities coordination, ensuring an organised, compliant, and confidential working environment while supporting wider business administration needs. You will also lead on process improvement, reviewing and enhancing executive support, HR, and office management processes to promote efficiency, structure, and strong ways of working.
As HR Coordinator, you will manage employee records, maintain HR systems, produce reports, and prepare HR documentation including contracts and letters. You will support recruitment activity from advert through to onboarding, coordinate HR meetings, and assist with training, policy updates, and ongoing employee lifecycle administration. You will provide routine HR guidance based on company policy, escalating more complex matters where appropriate, and help ensure managers remain on track with cyclical HR activities such as performance reviews and probation checkpoints.
What you'll need to succeed
- Proven experience as an Executive Assistant or in a similar role supporting senior management or executives, ideally within a mid-sized business.
- Strong understanding of business operations, office management, and administrative processes.
- Experience coordinating and managing HR and people-related processes.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
- Knowledge of budgeting and expense management practices.
- A-Levels (or equivalent) in English and Maths.
- Excellent written and verbal communication skills, with the ability to engage confidently and diplomatically at all organisational levels.
- Strong interpersonal skills, able to build and maintain effective relationships with clients, stakeholders, and colleagues.
- High level of professionalism, discretion, and confidentiality when handling sensitive information.
- Proven ability to influence and engage colleagues to ensure smooth coordination and alignment.
- Collaborative and supportive team player who contributes to a positive and productive office culture.
- Ability to manage office support and administrative functions effectively, supporting the wider team.
- Demonstrated initiative in cross-departmental projects and in promoting a cooperative work environment.
- Strong analytical skills with the ability to interpret data, consolidate reports, and present actionable insights.
- Proven problem-solving abilities, with the capacity to identify issues, prioritise tasks, and implement effective solutions.
- Sound judgement and decision-making skills, particularly when dealing with complex or sensitive matters.
- Excellent organisational skills, with the ability to multitask, prioritise, and work using own initiative in a fast-paced environment.
- Proven ability to manage schedules, coordinate events, and organise resources to ensure efficient workflow.
- Strong attention to detail across all tasks, from diary management to travel coordination and overseeing office operations.
- Knowledge of health and safety regulations, with the ability to ensure compliance within the office environment.
- Commitment to maintaining high standards of professionalism, accuracy, and integrity in all work.
- Ability to demonstrate conduct and performance in line with organisational standards.
- Competence in managing data and information in accordance with the Data Protection Act (2018) and GDPR, particularly when handling sensitive or personal information.
