Are you a proactive and highly organised Executive Assistant looking for a unique opportunity to shape a newly created role within a prestigious organisation?
My client is seeking an exceptional Executive Assistant to support our newly appointed Chief Operating Officer (COO) This is a pivotal role offering the chance to work closely with senior leadership and contribute to the development of the COO’s office, which oversees commercial activity, property, health & safety, security, transport, and sustainability.
Your new role
As Executive Assistant to the COO, you will provide high-level executive and administrative support, manage complex diaries, coordinate meetings and travel, and act as a key point of contact both internally and externally. You’ll work collaboratively with the wider Executive Support team and senior management, representing the COO with professionalism and discretion.
This is a newly established position, offering scope to shape and evolve the role in partnership with the COO and EA to the Chief Executive.
- Proactive diary and inbox management for the COO
- Coordination of meetings, travel, and communications
- Liaison with internal departments and external stakeholders
- Governance support including committee servicing and trustee paper preparation.
- Project and event coordination
- Office management and administrative support
- Contribution to cross-organisational initiatives such as risk management
- Occasional cover for other Executive Assistants
What you'll need to succeed
- Minimum 3 years’ experience in an EA, PA or similar role
- An interest in the charitable or heritage sectors is desirable.
- Excellent organisational and communication skills
- Strong minute-taking and project coordination abilities
- High emotional intelligence and discretion
- Proficiency in Microsoft Office and adaptability to new systems
- A collaborative mindset and ability to work independently
