Hays are working with a Large Public Sector Organisation based in the Mid and East Antrim Area to recruit for a Corporate & Support Services Officer

Your new role

This role sits within the newly created Corporate & Support Services team. You will be responsible for collaborating with our delivery teams to support delivery of the corporate functions and processes and support adherence to our policy and legislative duties. Your role will include ensuring processes are followed, deadlines are met, processing requests from officers to meet their business needs.

Main Duties include
  • Provide general, confidential administrative support as assigned.
  • Perform desktop publishing, word processing, printing, photocopying, binding, and other duties making use of appropriate equipment, as required.
  • Collate and assign queries to relevant officers from internal and external stakeholders. Deal with basic queries as appropriate or escalate as required.
  • To process and input relevant information and data to systems in line with agreed processes and procedures.
  • Order goods and services for the department as requested ensuring best value.
  • Maintain a high level of customer care and deal with internal and external customers, either face to face or by telephone and email.
  • To organise, arrange and attend meetings and take minutes and notes as appropriate.
  • Amend reports, policies and procedures for management as required.
  • Assist with the review and maintenance of the departmental web pages
  • Provide administrative support to line manager and team to assist in financial and risk management processes, maintaining records to ensure compliance.
  • Carry out regular reviews of the departmental filing system and escalate any improvements required to management.
  • Ensure correspondence, systems and records are always maintained with confidentiality and discretion and following GDPR.

What you'll need to succeed

A minimum of 5 GCSEs to include English Language and Maths (Grade C or above) or equivalent qualifications to demonstrate literacy and numeracy.
1 years’ administrative experience in a busy office environment to include at least 2 of the following:
•Maintaining filing systems and assist with maintaining records
•Prioritising work tasks
•Managing emails
•Note/Minute taking
•Using Microsoft packages
•Assisting with preparing reports
•Dealing with a range of correspondence and queries

Alternatively, if you do not have 5 GCSEs you should demonstrate 2 years’ experience to include a qualification in English Language and Maths.
A full current driving licence valid in the UK and access to a vehicle OR have access to a form of transport that enables you to carry out the duties of the post
