Temporary Perm FM scheduler for Large FM company
Main Purpose – Working for a large FM and maintenance company. This role is working on the Ministry of Justice account.
Main Purpose
The CAFM & Compliance Scheduler will primarily be responsible for scheduling planned maintenance and remedial works with contractors.
This will range from, but not be limited to, reviewing due dates for water risk assessments (WRA’s) and booking these in with contractors.
Reviewing the WRA schedule and bringing works forward to create a smooth workflow.
Liaising with site teams to book in escorts and confirm service dates.
Liaising with contractors for action plans.
Including the review of PM remedial requirements to get works quoted and scheduled through the supply chain.
Ensuring high risk items are completed within the required timescales and liaising with the client team to highlight risks associated with any known delays.
The role will require coordination with required stakeholders to ensure approvals processes are followed to enable compliance and commercial price lists to be maintained.
One of the key functions of this role is to ensure that we remain compliant with water regulations and that we are effectively managing associated risks.
Responsibilities
•Scheduling of water risk assessments (WRA’s) – updating the CAFM system.
•Liaison with supply chain to book in works and obtain documentation (e.g. remedial action plans, water risk assessments, reactive maintenance records for remedial works).
•Liaison with site teams to coordinate escorts and confirm dates
•Liaison with commercial team to raise quotations and instruct works
•Liaison with client, utilising the early warnings process to notify of any compliance risks
•Improve scheduling to smooth work volumes and support sites with more efficient working / grouping of tasks.
•Update electronic compliance records as required by the contract.
•Updating and maintaining change control records in trackers.
•Communicating with various stakeholders to obtain approvals / rejections, follow-ups and status updates.
•Support Operations teams with training and guidance on the correct process and best practices with relation to water management.
•Support with updating of documentation relating to water management.
•Coordinate with sites and projects teams to identify ad-hoc requirements to update the water risk assessments.
•Supporting internal / client calls when required
•Produce ad-hoc reports as required by the contract and wider business.
•Ensures that building opening / closing processes are followed when first or last into the office.
Performance Indicators
•All planned activities (water risk assessments) are complete prior to expiry date
•All high risk remedials are completed within recommended timescales, or early warning raised to notify the client of the risk if works are not funded
•All remedial works are booked in and completed in required timescales.
•100% pass rate on water in national compliance audits – reviewing service records
Key Skills needed
Scheduling or CAFM experience would be preferable.
•Good literacy skills ensuring that quotes to the customer have correct spelling
•Good excel skills – Regular use of Lookups and Pivot Tables
•Process awareness – can follow and implement process
•Can interact well with various groups and stakeholders
•Good communication skills
•Problem-solving using initiative when dealing with complex queries
•Managing workload and prioritisation of tasks
•Carrying our instruction from the Compliance lead
