Your new role
Reporting to the Office Manager, you’ll provide high-quality business and administrative support across the organisation. You’ll be a first point of contact for members, visitors and stakeholders, and you’ll work flexibly as part of a collaborative team, sharing knowledge and workload to meet organisational priorities.
No two days will be the same — this is a varied role where your organisational skills, attention to detail and customer focus will really shine.
- Acting as the first point of contact for visitors, members and callers – face to face, by phone and email
- Managing the enquiries inbox and directing queries appropriately
- Providing administrative support across the organisation to meet daily business needs
- Coordinating meeting room bookings, room set‑ups, catering and taking/distributing meeting notes
- Organising travel and accommodation for staff
- Maintaining office supplies and ensuring equipment is in good working order
- Supporting events and exhibitions, including bookings, invoicing and on-site admin
- Maintaining and updating CRM records and assisting with Mailchimp mailings
- Assisting with financial processing using Sage, including invoices, expenses and ledger maintenance
- Supporting website administration – training will be provided
- Promoting and protecting the corporate brand across communications
- Ensuring compliance with policies, including health & safety and equal opportunities
- Educated to Standard Grade (or equivalent) in English and Maths
- Qualified in Business Administration or able to demonstrate relevant experience
- Experienced in a similar administrative role (minimum 12 months)
- Confident using Microsoft Office and administrative systems
- Comfortable working with CRM systems and managing data accurately
- Organised, adaptable and solutions‑focused
- A strong communicator with excellent written and verbal skills
- Able to manage competing priorities and work flexibly
