Your new role

As an Admin Assistant, you will provide vital administrative, scheduling and coordination support to both internal teams and external customers. Your duties will include:
Scheduling & Coordination
  • Coordinating and scheduling work for field‑based staff
  • Contacting customers via phone and email to arrange appointments
  • Reviewing missed appointments and rescheduling where necessary
  • Chasing purchase orders for planned and reactive tasks
  • Reminding staff to update trackers and internal systems
  • Responding to general customer queries
  • Supporting internal reporting requirements when needed
Job Closure & Compliance
  • Checking completed job sheets for required signatures
  • Closing down completed tasks within internal systems
Document Control
  • Scanning and attaching job sheets, handwritten notes and relevant documentation
  • Uploading documents to internal systems and call records
  • Maintaining spreadsheets, certificates and administrative logs
  • Merging invoices with job sheets and issuing them to customers
Call Handling & Communication
  • Answering incoming calls from customers and internal teams
  • Providing regular job updates and reports via email
  • Reviewing out‑of‑hours call activity and following up on missing information
This role also includes general office administration, welcoming visitors, maintaining documentation and supporting the wider helpdesk and operations team.

What you'll need to succeed

  • Previous experience in an administrative or office support role (minimum 2 years)
  • Strong communication and organisational skills
  • Confident using email systems, spreadsheets and internal databases
  • Ability to prioritise tasks and work both independently and as part of a team
  • Friendly, reliable and professional approach
